You should always be aware that sensitive personal and business information can be exploited in a number of ways. Once documents leave the safety of your computer, they are an easy target for tech-savvy individuals with bad intentions. Even though you can never be 100% safe, the trick is to make their “job” hard enough not to be worthwhile.
In order to protect your your files and sensitive information in the interconnected world, the first thing you should consider is using PDFs because that file format can be secured using various methods. Professional PDF software like Able2Extract Professional has all the features you might need to defend your documents from multiple treats lurking on the Internet.
Keep reading to find out how you can use Able2Extract to secure your documents by converting them to PDF before adding watermarks, redacting text, or implementing password protection.
Able2Extract lets you create PDF from virtually any printable file format.
To create PDF from the software interface, click on the Create icon in the toolbar, select the file, wait until it’s loaded, click the Save icon, and choose the name and location for your file.
Alternatively, you can create PDF without opening Able2Extract just by using the Print function and selecting the Able2Extract Professional Printer.
This opens the Able2Extract Professional Print Dispatcher. The Print Dispatcher will let you choose the name and location for your document as well as to specify what should happen once the PDF is created.
Add Watermarks to PDFs
Watermarking is commonly used method of securing documents and corporate files. Able2Extract Professional allows you to annotate your PDFs with watermarks. Here’s how.
To do it, open the PDF saved on your hard drive (or create one in Able2Extract as described above) by clicking the Open icon in the toolbar. In the Annotation panel on the right, choose the Watermark icon.
You will be presented with Add Watermark customization options. You can choose an image or type in the text, change the appearance and position of your watermark, define the page range it should be applied to, and more.
Lastly, you can save the watermark template in order to reuse it later.
Redact PDF Text
Redaction feature should be used to hide sensitive information in your documents while keeping the formatting intact. Classified information such as credit card numbers and account information can be covered with black digital ink.
When you open the file, click on the Edit icon in the toolbar which will take you to the Edit mode in Able2Extract.
In the Content panel on the right look for the Redaction option and click appropriate icon. Next, click on the page and drag the selection rectangle in order to redact the sensitive information.
When you are done redacting, save your document.
Password Protect PDF
When you want to share the original document with specific people instead of making further use impossible or hiding piece of information from everyone, go for Encrypt document feature.
Once the file is opened and you enter the Edit mode, click on Edit in the Menu bar and select Encrypt Document… Make sure to set different passwords for User and Owner, and customize the permissions.
As shown in the screenshot above, you can allow or disallow printing, copying, document modification, commenting, form filling and more. These permissions allow you to fully control how others are viewing and using your documents.
You’d be surprised to know just how many people make novice mistake of not protecting their important documents before sharing them over the Internet. Don’t be one of them–implement security measures described in this article and rest assured that your information won’t get compromised.
